Clinical Administration Assistant

HOURS OF WORK: 37½ per week

Position Summary

To work under the supervision of the clinical/pharmacy teams, to assist with clerical duties in the provision of direct and indirect patient professional and customer focused care.

To provide comprehensive administrative support services at agreed turnaround times

General responsibilities

  • To provide a range of comprehensive medical and administrative support duties including accurate typing and word processing as directed
  • To respond to enquiries in a courteous and helpful manner directing staff/clients to the right source. This encounter may be on the telephone or face-to-face
  • To use the computer system, Mosaiq, for patient records, patient registration, scanning letters and uploading documents in the correct manner
  • To assist with shredding and photocopying of documents as required
  • To assist with audit and complete reports as directed
  • To maintain patient information/ literature in public areas/library to the agreed stock levels and to liaise with the clinical and non clinical teams in relation to agreed content and circulation
  • To maintain stationery supplies for the clinical and pharmacy departments at appropriate levels
  • To assist pharmacy staff with the receipt, unpacking and putting away of pharmacy orders and the processing of associated paperwork
  • To practice good stock control and assist with monthly expiry date checking.
  • To assist pharmacy staff with providing “top-ups” for the aseptic unit, dispensary and for the treatment suite.
  • To be responsible for filing completed prescriptions and worksheets on a daily basis
  • General housekeeping duties in Pharmacy.
  • To comply and to adhere to policy regarding the keeping of medical records and the minimum data set to be collected from patients in order that data can be inputted and retrieved correctly in Mosaiq
  • To participate actively in matters relating to audits that is set out
  • To support colleague members and to work closely with a multi-discipline group to achieve and maintain objectives/KPI’s
  • To exercise flexibility in all staffing situations. Extra hours will be asked when needed and at times, this can be at very short notice
  • To promote effective use of resources, this will include the managing of stationery orders and materials according to safe practice, budget and service needs
  • To request for assistance when required
  • To ensure that the working environment is professional, clean and tidy. Personal belongings to be safely stored in provided lockers
  • To ensure that there is ongoing effective communication among members of the team in order that services are maintained
  • To ensure accurate and positive communication when promoting the Department, its services and Leaders in Oncology Care
  • To communicate promptly, as appropriate, any comments and complaints made to the Head of Clinical Services/Pharmacy/Deputy
  • To maintain at all times a professional approach, with the highest level of discretion and confidentiality concerning client information and all aspects of care
  • To liaise with other departments and our external clients, principally consultant secretaries/service users in the pursuance of fulfilling patient’s care/documentation
  • To comply with all Health & Safety Policies, Fire Policy, Clinic Policies, Data Protection and Departmental Policies and Procedures.
  • To identify and develop personal training needs in conjunction with individual performance reviews and the needs of the Department

 

Requirements:

  • Good level of education.
  • Good spoken and written English
  • Excellent communication skills, verbal and non verbal communication skills
  • Good organizer of self and others and have a structured and systematic approach
  • Pleasant and positive attitude
  • Multitasker and the ability to use your initiative are essential for this post
  • Accuracy and attention to detail
  • Customer care skills
  • Ability to work under pressure, and prioritise workload
  • Second language beneficial
